Check whether an email was sent
Open a project's email log to see each email it sent recently, who it went to, and whether it was delivered, delayed or blocked.
The email log lists the emails a project sent in the last 30 days: new testimonial alerts, the emails to people who fill in your forms, rewards, Smart Invites and their reminders. For each one it shows who it went to and what happened to it. It's on every plan. Because it shows your customers' email addresses, only the workspace owner and project Admins can open it.
Open the email log
Open your project, click the gear icon next to its name at the bottom of the sidebar, and choose Email Log.
The most recent emails are at the top, and an email that hasn't gone out yet stays listed until it does. Created is when the email was created, in your own time zone; an email that's still waiting hasn't gone out yet. Email is the kind of email, with its subject line under it. To is the address it went to.
Find the email
To look up one customer, type their address, or part of it, in Search by recipient and click Search.
To see only the emails that need attention (bounced, blocked, failed or reported as spam), click Problems. Waiting shows the emails that haven't gone out yet or are still being delivered. All shows everything again.
The log shows 50 emails at a time. Click Older at the bottom for the next 50, and Newer to come back.
Read the status
Status says what happened to the email. See What each status means.
What each status means
| Status | What it means |
|---|---|
| Queued | The email is waiting its turn. It goes out within a few minutes. |
| Scheduled | The email is set to go out later, such as a Smart Invite waiting for its delay or a reminder. The time is shown under the status. |
| Retrying | A try to send it failed, and it will be tried again shortly. |
| Waiting | The project reached its hourly email limit, or the address reached its daily limit. The email goes out when there's room. |
| On hold | Sending is paused on our side. The email goes out when sending resumes. |
| Sent | The email was sent, and the recipient's mail server hasn't confirmed delivery yet. |
| Delivered | The recipient's mail server accepted the email. It may still have landed in a spam or junk folder. |
| Delayed | The recipient's mail server hasn't accepted the email yet. Delivery is still being tried. |
| Bounced | The recipient's mail server rejected the email. This usually means a typo in the address or a mailbox that no longer exists. |
| Reported as spam | The recipient marked the email as spam. |
| Blocked | The email wasn't sent, because an earlier email to this address bounced or was reported as spam. |
| Failed | The email couldn't be sent or delivered after several tries. |
| Not sent | The email was no longer needed when its turn came, so it wasn't sent. |
Under an address, We no longer send to this address means the address is blocked now, whatever happened to that one email.
What happens next
- Delivered, but your customer can't find it. Ask them to check their spam or junk folder and to add our sending domains to their safe senders. See Emails not arriving.
- Bounced. Check the address for a typo. If it was wrong, send again to the right address.
- Blocked. You can't remove a block yourself: blocks protect email delivery for everyone. If the address works now, contact support and tell us the address.
- A Smart Invite is still Scheduled, Queued or Waiting. See Invite emails not sending.
- The email isn't in the log. It may never have been created. Check that the email is switched on in the project's Notifications settings: see Set up the emails a project sends. Emails that don't belong to one project, such as team invitations, aren't listed. For the other reasons, see Emails not arriving.
After 30 days an email leaves the log.
