Invite team members
Invite teammates to your workspace, choose their role in each project, and manage pending invitations, seats and removals.
Invite teammates to work on your projects. Teams are available on Premium and Business, and only the workspace owner can invite people, change their roles or remove them.
Open the Team page
Click your profile picture in the top-right corner, choose Workspace settings, then click Team. If your plan doesn't include teams, you'll see Team collaboration and an Upgrade to Premium button instead. If your plan does include teams but its payment is overdue, you'll see Your team is paused until the payment is fixed with an Update payment method button: nobody was removed, and access returns once it's paid. Teammates from a plan you had before are listed under it: see Teammates kept from an earlier plan.
Add the person
Click Add member. Enter their Email address and choose a Default role: Admin, Member or Viewer.
Choose their projects
Under Assign to projects, tick the projects they should work on. Each one gets the default role. To share the projects you create later too, tick Automatically add to future projects.
Send the invite
Click Send Invite. If the email address already has a ReTestimonial account, they join your team right away. Otherwise, they get an email with a link to join, which works for 7 days.
Roles
Each teammate has a role in each project, and it can differ from one project to the next.

As the Owner, you have full access to every project. To change someone's role in a project, pick a new one in that project's column on the Team page. Click their name to change their Default role or turn Add to future projects on or off.

Pending invitations
Until someone accepts, their row shows Pending, the date you invited them and when the invitation expires: 7 days after you sent it. You can set their project roles once they've accepted. Each pending row has two buttons (on a phone, tap the row to see them):
- Resend invitation (the circular arrows) sends the email again, with a new link that works for another 7 days. The link in the earlier email stops working.
- Revoke invitation (the bin) cancels it. Click Revoke to confirm, and the link in the email stops working.
Once the 7 days are over, the row's badge changes from Pending to Expired, and a note above the list says how many invitations have expired. An expired invitation stays on the list and still uses a seat, so resend it or revoke it.
If the invitation link doesn't work
The page the link opens says why:
- This invitation has expired. Ask the team owner to resend it. The 7 days are over. Click Resend invitation on their row.
- This invitation was sent to a different email address. They're signed in to an account that doesn't have the address you invited. They sign in or sign up with that address, or you revoke the invitation and invite the address they use.
- This invitation link is no longer active. You resent or revoked the invitation, or they've already joined: someone who has joined finds your projects on their dashboard. After a resend, only the link in the newest email works.
- This workspace's current plan no longer supports team access. Your workspace isn't on a plan with teams at the moment. See What happens to my team if I downgrade, cancel or miss a payment?
Remove a teammate
Click Remove member (the bin) on their row, then Remove. They lose access to all your projects, and their seat is free again.
Seats
Everyone on the team uses a seat, you included, and so does each pending invitation. Premium includes 3 seats and Business includes 6.
When every seat is taken, Add member says You've reached your team seat limit. Click Add a seat to buy more on the Billing page, or use Manage seats at the top of the Team page. See Change your plan, project licences or seats. An extra seat costs $5 a month, or $50 a year with yearly billing, and a workspace can have up to 25 seats, counting the ones your plan includes. Before you move to a plan or seat count with fewer seats, remove teammates or revoke invitations until the team fits. Teammates kept from an earlier plan
When your workspace leaves a plan with teams, for example after you cancel, nobody is removed. Your teammates and pending invitations are kept: they can't open your projects meanwhile, and their access returns by itself when the workspace is on a plan with teams again (Premium and Business).
Until then, the Team page lists them under Team collaboration, on a card named Team members kept from your earlier plan. An invitation nobody accepted is marked Pending invitation, or Invitation expired once its 7 days are over.
Each of them still counts as a seat, on top of your own. On the Billing page, while the plan you've picked has fewer seats than that, Team seats says, for example, 1 team member is kept from your earlier plan, so 2 seats are taken, and Continue to secure Checkout answers Remove 1 team member or pending invitation before changing to the selected plan (with your own numbers). You have two ways forward:
- Choose a plan with enough seats, adding Team seats if you need more than it includes. Your teammates' access returns with it. See Upgrade to a paid plan. An invitation that expired meanwhile needs Resend invitation.
- Remove the people you no longer need. On the card, click Remove on a teammate's row, or Revoke on an invitation's, then confirm. Pro has 1 seat, your own, so the card must be empty before you can buy it.
Removing is all the card does. Inviting, resending and changing roles come back with a plan that includes teams.
See who can open a project
Open the project, click the gear icon next to its name at the bottom of the sidebar, and choose the Team tab. Project Team lists everyone who has access and their role. As the owner, click Manage Team to open the Team page with that project highlighted.
What happens next
The invitation works only for the email address you entered. If the person has no account yet, the link takes them to sign up. Once they've joined, the projects you shared appear on their Projects page, next to their own workspace's. If they signed up without the link, they can click Accept under Pending team invitation on their Projects page, until the invitation expires.
Someone who signs up with an address that has a pending invitation doesn't get the usual welcome email. Someone who signs up after their invitation has expired gets it like any new account.
Teammates can't manage the team, even as an Admin: everyone has their own workspace, and the Team page only ever manages yours.
