Import Capterra reviews
Connect your product's Capterra page to import its reviews in bulk, then keep new ones coming with Sync and auto-sync.
Bring the reviews your product has on Capterra into ReTestimonial. Each review becomes a testimonial you can approve and show like any other. On the Capterra tab of Review Platforms, Automatic Import connects your product's Capterra page, imports its reviews in bulk and keeps new ones coming. It's available on Business.
Open the Capterra tab
In your project, open Review Platforms under Collect in the sidebar and click the Capterra tab. Automatic import lives in the Automatic Import card. On plans without it, that card is locked.
Copy your product's Capterra address
On Capterra, open your product's page and copy its address from your browser's address bar. ReTestimonial needs an address with /p/, the product's number and its name, such as https://www.capterra.com/p/123456/Product-Name/. You don't sign in to Capterra.
Connect the product
Click Connect Product. In the Connect Capterra Product dialog, paste the address into Capterra Product URL and type the name you want ReTestimonial to show under Product Name. The name isn't read from Capterra, so use the one your team knows the product by.
Click Connect Product at the bottom of the dialog. The product appears as a card under Connected Products. Each Capterra product can be connected once per project.
Import reviews
On the product's card, click Import. In the Import Capterra Reviews dialog:
- use the Reviews to Import slider to choose how many reviews to bring in;
- pick a Sort order: Most recent, Most helpful, Highest rating or Lowest rating. The import takes the first reviews in that order;
- tick Auto-approve all imported reviews if you want to skip the Pending step.
Click the button at the bottom of the dialog; its label shows how many reviews you chose. When the import finishes, a message tells you how many reviews were imported and how many were skipped.
Where imported reviews go
Imported reviews arrive in Pending, where you approve the ones you want to show. If you ticked Auto-approve all imported reviews, they go straight to Approved. You can also find them under All Imports in the sidebar.
Each review comes in as a text testimonial with the reviewer's name, role and photo (when the review has them), the star rating, the review's title and date, and a link to the review on Capterra.
The testimonial's text is the review's own text. When a review has none, the text is built from its title and its pros and cons, labelled "Pros:" and "Cons:". Read these before you approve them, and edit the testimonial if you'd rather not show the cons.
Which reviews are imported
- There's no minimum star rating filter. To start with your best reviews, choose Highest rating as the Sort order, and reject any review you don't want to show.
- A review with no text, title, pros or cons is skipped. A review that comes without a star rating is imported without one, with its stars hidden.
- A review is never imported twice in the same project, even after you disconnect and reconnect the product. Reviews you already have are counted as skipped.
- Import always starts from the top of the list you chose. Running it again with the same settings finds the same reviews and skips them. To reach other reviews, choose a larger number or a different Sort order. For reviews posted since your last import, use Sync.
Import new reviews automatically (auto-sync)
Click Sync on a product's card to import the reviews posted since the newest one ReTestimonial has. When your plan limits syncs, the button shows how many you've used this month. A sync that finds nothing new still counts; one that fails doesn't.
To sync on a schedule, open the menu on the product's card and choose Settings. In the Capterra Sync Settings dialog, turn on Auto-sync reviews and click Save Settings. The Auto-sync frequency is Monthly. The schedule counts from the product's last import or sync, so running one yourself moves the next automatic sync back. In the same dialog:
- Auto-approve synced reviews sends reviews from Sync and auto-sync straight to Approved instead of Pending. Import follows the checkbox in its own dialog instead.
- Notify on new reviews, with Email notifications and In-app notifications, tells the workspace owner when an import, a sync or auto-sync brings in new reviews, whoever started it. Until you change them, the owner gets an email and no in-app notification.
If an automatic sync fails after its retries, or is skipped because the month's reviews are used up, the people who manage the project get a notification: Capterra reviews couldn't be imported after a failure, or Capterra reviews not imported: monthly limit reached when the month's reviews are used up. In notification settings, this kind of notification is called Review sync needs attention.
Disconnect a product
Open the menu on the product's card, choose Disconnect and confirm with Disconnect. The connection is removed and the reviews you imported stay in your project. You can't disconnect a product while one of its imports is running.
Disconnecting doesn't reset anything: syncs you've used this month still count, and reviews you've already imported won't come in again if you reconnect the product.
Plan limits
These limits apply to automatic import, for each project. The Monthly usage bar in the Automatic Import card shows how many Capterra reviews you've imported this month. Each review counts once: deleting imported reviews doesn't give back your monthly allowance, and a review you add yourself doesn't use it.

When you've connected as many products as your plan allows, Connect Product is turned off. When this month's reviews are used up, the import button in the Import Capterra Reviews dialog is turned off until the next month, and when this month's syncs are used up, so is Sync.
Only teammates with import access can connect products, run imports and change sync settings. Everyone else sees this page read-only.
