Manage invite templates

Add another Smart Invites email template, choose which one is the default, copy one to try changes, or delete one you no longer use.

A project starts with one Smart Invites email template, marked Default. To add another, click New Template on the Templates tab. To copy or delete a template, or to make it the default, open it and use the More options menu in its top bar.

Smart Invites are on Premium and Business, and you need to own the workspace or be an Admin on the project.

Open the Templates tab

Click Invites under Collect in your project's sidebar, then the Templates tab. The template marked Default is listed first, then the others, newest first.

Add a template

Click New Template. The template opens in the template builder, named "New Template". A new template begins with a short first email, and its reminders repeat that email until you write them. They're set for 3 and 7 days after the first email.

Name it and write its emails

Click the template's name in the top bar to rename it. Then write its emails and set their timing: see Customize your invite emails.

Set a template as the default

The default is the template your invites use when Email sequence is left on Project default template. To make another template the default, open it, click the More options menu in the top bar and choose Set as default. The Default badge moves to it, and the earlier default stays in your list as an ordinary template.

  • Single invites and imports left on Project default template use the new default from then on.
  • Customers you already invited keep the template they were invited with.
  • A webhook isn't changed. It keeps the template it was saved with, even one saved on Project default template. To move it to the new default, open the webhook's settings, choose its Email sequence again and save.

Duplicate a template

Open the template, click More options and choose Duplicate. While a campaign uses the template, the item reads Duplicate and edit as draft; it makes the same copy. The copy opens in the builder, named after the original with "(Copy)" added. It has the original's three emails, their timing, its reminder switches, its Reply-to email and its Show "Powered by ReTestimonial" setting. It isn't the default.

To try changes without touching live campaigns, choose Duplicate and edit as draft in the More options menu. No invites use the copy until you pick it. For how edits to a template reach the campaigns that use it, see What happens next in "Customize your invite emails".

The builder saves your latest changes before it copies. If it can't save them, for example while Email 1 has no subject, no copy is made.

Delete a template

Open the template, click More options and choose Delete template, then confirm with Delete. A deleted template can't be brought back.

You can't delete the default template, one that a campaign has used, one that a webhook sends with, or one that customers are still waiting on:

  • The default template. Its menu item reads Delete (default template) and can't be clicked. Make another template the default first.
  • A template that a campaign has used. You see "This template is used by one or more campaigns, so it can't be deleted." Campaigns can't be deleted, so the template stays in your list.
  • A template that a webhook sends with, as its Email sequence or in one of its routing rules. The message names the webhook. Pick another Email sequence in that webhook's settings, and another Email Template in any of its routing rules that use it, then delete the template. See Change a webhook's settings.
  • A template that customers are still waiting on. A customer can hold a template that no webhook sends with any more: a routing rule gave it to them, or you changed the webhook's Email sequence after they were invited. While any of them still has an email to come, the message says how many are waiting. Delete the template once their sequences have ended, or choose Cancel remaining emails… for them in their campaign first: see Track invite campaigns and contacts.

Your plan sets how many templates you can add to each project, besides the default one:

A copy made with Duplicate counts as a new template. At the limit, New Template and Duplicate show Custom template limit reached.

What happens next

A new template or a copy sends nothing until you choose it: pick it in the Email sequence menu when you invite customers, or make it the default.
