Track invite campaigns and contacts
See who each Smart Invites campaign emailed, who opened, clicked or responded, and cancel or restart one customer's invite emails.
Every customer you invite lands in a campaign, where you can follow their emails and see who responded. Smart Invites are on Premium and Business, and you need to own the workspace or be an Admin on the project.
Open your campaigns
Click Invites under Collect in your project's sidebar, then the Campaigns tab. You can also click View all beside Recent campaigns on the Overview tab.
You don't create a campaign yourself. One appears when invites go out:
- Webhook: each webhook has one campaign, named after the webhook and ending in "— Auto"; renaming the webhook renames it. Every customer it invites joins it.
- CSV import: each import is a new campaign, named "CSV Import:" and the file's name.
- Single invite: customers you invite one at a time are grouped in a Manual Invites campaign, one for each form and email template you use.
The newest campaign is at the top. Each one shows its source, the day it started and how many of its customers responded, such as "12 of 40 responded", with the percentage. To see one kind only, change All sources to Webhook, CSV import or Single invite.
Read a campaign's numbers
Click a campaign. The cards at the top count its customers:
- Invited: everyone in the campaign.
- Invitations sent: customers who've been sent the invitation. Reminders aren't counted.
- Responded: customers who submitted a testimonial through their invite link, and their share of the campaign.
- Bounced: customers whose email bounced.
- Unsubscribed: customers who unsubscribed or reported an invite as spam.
Find a customer and check their status
Type in Search by email or name, or change All statuses to one status. Each row shows the customer's Status, their Engagement and the day they were Added.

| Queued | Added to the campaign. The invitation isn't lined up yet. |
| Invitation scheduled | The invitation is lined up to go out at its time. |
| Invitation sent, First reminder sent, Second reminder sent | That email went out, and they haven't responded yet. After their last email, a customer who never responds keeps this status. |
| First reminder scheduled, Second reminder scheduled | That reminder is lined up to go out. |
| Responded | They submitted a testimonial through their invite link. No more emails go out, even when the submission was sent to Spam. |
| Delivery failed | An email couldn't be delivered after repeated tries. No more emails go out. |
| Bounced | An email bounced. The address is added to the project's do-not-email list. |
| Unsubscribed | They unsubscribed or reported an invite as spam. The address is added to the do-not-email list. |
| Cancelled | The remaining emails were stopped: by you, or by ReTestimonial, which then gives the reason on the timeline. See Invite emails not sending. |
Engagement is the furthest the customer got across all their emails: Not opened yet, Opened, Clicked the link or Responded. An open is recorded when the email's images load, so someone who reads it with images turned off still shows Not opened yet.
Click the arrow at the start of a row to see that customer's timeline: each email sent or scheduled, each open and click, and what stopped the sequence. A failed delivery shows the reason we were given. If a customer's emails haven't gone out, or stopped, see Invite emails not sending.
Stop, restart or share a customer's invite
Open the three-dot menu at the end of the customer's row:
- Copy invite link copies their personal link to the form they were invited to. Send it yourself, in a chat or on a call; a testimonial sent through it still counts as Responded.
- Cancel remaining emails… stops the invitation or reminders still to come, once you confirm. Their status becomes Cancelled. A cancelled sequence can't be picked up where it stopped: Restart sequence… sends the invitation again from the first email. This is shown only while their sequence is running.
- Restart sequence… appears once the sequence has stopped, or once the customer has been sent every email and hasn't responded. Confirm with Restart sequence: they're sent the invitation again, on your template's timing, followed by the reminders, and their timeline starts over. A testimonial they already sent stays in your inbox.
If the address is on the project's do-not-email list, the menu says the sequence can't be restarted and offers Open do-not-email list instead. Restart sequence… isn't offered either when an email to the address bounced or was reported as spam anywhere in ReTestimonial, and the menu says so; see Emails not arriving.
Good to know
- An invite is counted when the customer is added to a campaign. Cancelling their emails doesn't give it back, and restarting doesn't use another.
- Cancelling stops the emails, not the link. A customer who already has their invite link can still respond, and their row then shows Responded.
- Campaigns can't be paused or deleted. To stop emailing one customer, cancel their remaining emails. To stop new customers joining a webhook's campaign, click Pause on the webhook's page: events that arrive while it's paused are discarded, and those customers aren't invited later. Customers already in the campaign keep getting their emails, even if you delete the webhook.
- When an email can't be delivered, you also get an in-app notification, Smart Invite delivery failed, that links to the campaign.
What happens next
When a customer responds, their testimonial arrives in your inbox like any other form submission, and their remaining reminders are cancelled.
